Just Starting a Bookkeeping and Payroll Business? The 7 AI Agents I'd Start With

Last night a new connection sent me a question I love getting.

She's growing a small bookkeeping and payroll business, and she asked: "Are there any tools you'd recommend starting with?"

Short question. Big answer. Because when you're the bookkeeper, the payroll person, the marketing department and the person who fixes the printer, "where do I start with AI" can feel like standing in front of a 250-item menu while hungry.

So here's the exact list I sent her, plus why each one made the cut. If you run a small practice, this one's for you.

First, the 30-second version

  • 1 agent you can claim FREE
  • 5 agents for $99 through our build-a-bundle
  • 1 personal favorite, the one I used to build my own pipeline

All of them work with any LLM (ChatGPT, Claude, Gemini, Copilot), and there's nothing to install.

GOOD NEWS: we extended the FREE AI Skills course. Grab it today! As of right now, it may end Friday. Once you sign up, it's yours for life. For accountants and bookkeepers. For every other business.

Claim this one FREE

1. Month-End Close Agent (#29)
One workflow for the whole close: a checklist you can customize, recurring entries like depreciation and accruals, and a flag on anything in the trial balance that moved more than you'd expect. It ends with a close package ready for review.
Why it's first: month-end is where a small practice either looks organized or looks overwhelmed. This makes every client's close look the same, and that's how you take on more clients without more chaos.

Then these 5 for $99

2. Bank Reconciliation Agent (#28)
Bring the bank statement and the general ledger export, and it matches what it can and flags only the items that need a human eye.
Why: reconciliations are the heartbeat of bookkeeping. Faster recs mean faster closes.

3. Expense Categorization and Receipt Capture (#36)
Turns messy card statements and expense reports into coded, policy-checked transactions that match your client's chart of accounts.
Why: categorizing is the task everyone does and nobody loves. Let the agent take the first pass.

4. Payroll Client Onboarding Checklist (#74)
A 14-day plan from signed engagement letter to first clean pay run: prior provider data, employee setup, deductions, banking and the first-payroll check.
Why: the first payroll is where new relationships go wrong. This one is built to stop the first-payroll disaster before it happens.

5. Payroll Variance Analyzer (#45)
Compares this pay period to the last one and flags anything outside your limits: duplicate runs, missed bonuses, rate errors, people who shouldn't be there. Then it writes a short memo for your file.
Why: catching a payroll mistake before the money leaves the bank is worth a lot more than fixing it after.

6. Year-End W-2 and 1099 Reconciliation (#80)
Ties the annual payroll register to W-2 totals, vendor payments to 1099s, and everything to the four quarterly 941s.
Why: January 31 is closer than it looks. Start the year-end conversation with clients now and January gets a lot calmer.

And my personal #7

7. LinkedIn Connection Engine (#99)
Turns the connections you already have into conversations, FREE agent claims and booked calls. It builds a plan for each group of people, a tracker, and messages that sound like you.
Why it's my #7: this is how I built my own pipeline. It's the exact outreach system we run on our own list. A new practice doesn't need more software first. It needs more of the right conversations. Swap it in as your FREE claim, or make it one of your 5.

Have a different type of bookkeeping business? I can customize yours too. Restaurants, construction, nonprofits, real estate, salons, a mix of everything: tell me who your clients are in the comments or book 15 minutes with me, and I'll build your top 7.

How to actually get them

  1. Claim your FREE agent: claim it here. Pick #29, or #99 if pipeline is your bigger problem right now.
  2. Build your 5 for $99: build-a-bundle. Mix and match whatever fits your clients.
  3. Start the FREE AI Skills Black Belt today so you know how to use all of this safely. We extended it, but as of right now it may end Friday. It's self-paced and yours for life once you sign up. For accountants and bookkeepers. For every other business.
  4. Join our FREE community: the group. People share what they're building and answer each other's questions. Nothing is sold in it.

Quick questions I get

Do I need to be tech savvy?

No. If you can fill in a form and copy and paste, you can use these. That's it.

What about client data?

Good instinct, keep it. Our rule: nothing goes into AI that you wouldn't put on a postcard. No Social Security numbers, no EINs, no account numbers. The FREE AI Skills course shows you how to work this way.

Which AI do I need?

Whichever one you already use. They work with any LLM (ChatGPT, Claude, Gemini, Copilot).

Can I pick different agents?

Absolutely. This is my list for a small bookkeeping and payroll practice. Have a different type of bookkeeping business? I can customize yours too. Tell me who you serve and I'll send you your own top 7.

Your turn

Which one would you grab first? Or what's YOUR #8? Tell me in the comments. I read and answer every one, and the best #8 might end up in a future post.

One more thing: through Thursday, October 15 (that's tomorrow), AI Agent Black Belt (Builder) and AI Role OS Black Belt are $1,000 together instead of $1,000 each. Earn all three Black Belts and you pick 5 FREE AI agents from our library. Here's what that $1,000 actually buys you.

And if you're not sure where to start, read how I was the one saying "yes, later". Then start small. One agent. One client. One month-end.

Yvonne
