Every HOA Runs the Same Math. Only the Numbers Change.

Every HOA Runs the Same Math. Only the Numbers Change.

If you have ever done the books for a homeowners or condo association, you know the job comes with bonus features nobody put in the engagement letter.

There is the board meeting that runs 90 minutes over because of the pool gate. There is the volunteer treasurer who is doing his very best and would like the balance sheet explained "like I'm five." And there is the owner who wants it in writing, by Friday, why dues went up $11.

And underneath all of that, the same work, every month, for every association: two funds that must never mix, a reserve study nobody wants to read, a board packet, a budget, a delinquency list and an estoppel letter with a deadline clock ticking.

A CPA who has served associations for decades told us something that stuck: every association runs the same arithmetic. Only the numbers change.

So we built it once.

New today: the AIA HOA & Condo Association Accounting Bundle

33 agents in one bundle: 11 built just for associations, plus 22 core accounting agents for the everyday work every client needs, like reconciliations, month-end close, payables and collections. Each one drafts, and you review. Nothing goes to a board or an owner until you approve it.

Here are the 11 association agents:

  1. Association Chart of Accounts and Two-Fund Setup. Sets up operating and reserve funds the right way from day one, so nothing has to be untangled at audit time.
  2. Reserve Study Funding Analyzer. The star of the show. Takes the reserve study and your current balance and shows percent funded, the year the money runs short, and full, threshold and baseline funding side by side, so the board can actually choose.
  3. Operating and Reserve Fund Separation Monitor. Flags anything posted to the wrong fund and every inter-fund transfer that needs paperwork. This is the mistake auditors find most, so let the agent find it first.
  4. Association Budget and Dues Schedule Builder. Operating budget, reserve contribution and the monthly dues per unit, plus the owner-friendly summary page.
  5. Association Board Packet and Reserve Report. The monthly package, with variance notes in plain English for volunteers who are not finance people and are legally responsible anyway.
  6. Special Assessment Allocator and Owner Notice. Splits the total by the method in your governing documents (often percentage of ownership, not per unit), builds the payment options and drafts the owner notice.
  7. Estoppel Certificate Generator. Unit balance, dues, assessments, fees and a deadline clock, ready for every closing.
  8. Assessment Delinquency and Lien Escalation Tracker. Aging by unit, the notice sequence and its deadlines, and an honest split of what is collectible.
  9. Association Vendor Contract and COI Register. Every contract renewal and insurance certificate in one place, with a 60-day heads-up. Landscaping, elevator, pool, roof. Yes, the pool again.
  10. Insurance Claim and Deductible Allocator. After a claim, splits the cost between the association and the owners per the governing documents and the deductible. Contentious every time. Now at least the math isn't.
  11. Developer Turnover and Transition Review. For the day the developer hands over the keys: records, reserves, warranties and the funding gap being inherited.

A quick word about the law

Reserve and inspection rules keep changing, and they vary by state. So these agents never pretend to be your attorney. You enter or confirm the current requirement, and the agent does the math, the schedule and the paperwork. Always verify against current statute. The agent will remind you, nicely.

Who it's for

  • Bookkeepers and accountants who serve associations. The same jobs for every client, now drafted in minutes.
  • Community association management companies. If you run 40 associations, you do the same work 40 times. The agents don't get tired on number 40.
  • Board treasurers. You volunteered for this. You did not volunteer to become a reserve-study expert overnight.

The bundle is $249, the same as every AI for Accounting Pro Bundle. Get the HOA & Condo bundle here.

Not an HOA person? Here's everything that's still FREE

Even if the closest you get to an HOA is reading your own dues statement, there is plenty on the table for you, and it doesn't cost a thing. All of it works with any LLM: ChatGPT, Claude, Gemini or Copilot.

  • The FREE AI Skills Black Belt, yours for life once you sign up. Nine belts on using AI in the work you already do, about 30 minutes a day, self-paced. For accountants and bookkeepers. For every other business. I honestly don't know how much longer we'll be able to keep giving it away for FREE.
  • A FREE AI agent. Pick one ready-made agent from our library and put it to work this week. One per person. Claim your FREE agent.
  • 5 FREE copy-and-paste AI prompts. From Friday's post: the receipt chaser, the plain-English summary, the "POS DEBIT 4471" decoder and more. Steal all 5.
  • Our FREE community. People post what they're building and answer each other. Nothing is sold in it. Join the FREE community.

And one deal with a deadline

Through Thursday, October 15, you can get AI Agent Black Belt (Builder) and AI Role OS Black Belt (Operating Systems) together for $1,000, half the usual $1,000 each. Builder teaches you to build agents like these for your own work. Role OS turns them into a weekly rhythm, so they actually run. Get both for $1,000.

Tell me in the comments

What is the strangest line item you have ever seen in an association's books? Bonus points if it involves the pool, a lawn ornament or a duck.

On the fence about any of this? Grab 15 minutes with me, no pitch, just your questions.

Have a great weekend. Go tell your favorite HOA treasurer.
