This week a CPA with 30 years in construction and HOA audits asked me a great question: “Does this do the accounting, or does it work with QuickBooks or Xero?” If he’s asking, I’m guessing a lot of you are wondering the same thing. So let’s settle it.
Short answer: AI is not replacing your QuickBooks or your Xero. QuickBooks has been through enough. It survived the move to the cloud and every bank feed that decided to import the same transaction twice on a Friday afternoon.
Long answer: AI works alongside your accounting software, and once you see who does what, it gets a lot less mysterious and a lot more useful. Everything here works with any LLM (ChatGPT, Claude, Gemini, Copilot).
No pitch until the very last line. Just how it works today, what to keep in your accounting software, and how to make the two work better together.
Who does what
- QuickBooks or Xero is the system of record. Bank feeds, invoices, bills, payroll, the general ledger and the audit trail live here. This is where the books actually are.
- The AI agent is the analyst. It reads the reports you export, builds schedules, explains variances, flags what looks off and drafts journal entries and client emails.
- You are the decision maker. You review the draft, post the entries and sign your name.
Think of QuickBooks as the filing cabinet, AI as the sharp new hire who reads every file, and you as the one with the keys. The new hire never gets the keys.
How it works today: export, clean, ask, review, post
- Export the report. Pull it to Excel or CSV: transaction detail or the general ledger, A/R or A/P aging, profit and loss by class, location or project, or project profitability.
- Clean it. Delete the columns the task doesn’t need (account numbers, tax IDs, addresses) and swap client names for client codes. Same rules as last week’s post on client data.
- Give it to the agent. Paste or upload the file with clear instructions: what it’s working on, what you want back and what it should never ask for.
- Review the draft. Schedules, flags, explanations and the journal entry, all laid out for you to check.
- Post it yourself in QuickBooks or Xero. The AI drafts. You decide.
Example: a contractor’s WIP schedule
Export project profitability for the month. The agent calculates percent complete from cost to date, finds over and under billings by job, and drafts the entry to true up revenue. You check the estimates, post the entry and send the report.
What used to be an afternoon of spreadsheet surgery becomes a 20-minute review.
What AI does well with your QuickBooks or Xero data
- Month-end variance explanations from a P&L comparison
- Reconciliation exception notes from unmatched items
- Polite (and then slightly less polite) collection emails from an A/R aging
- WIP schedules, progress billing and retainage tracking
- 1099 vendor review from your vendor list and payments
- Cleanup diagnostics: uncategorized items, duplicates and anything parked in suspense
What stays in QuickBooks or Xero (and with you)
- Posting entries and closing the period
- Bank feeds, bank rules and reconciliations of record
- Payroll runs and tax filings
- Anything you would sign
If a task ends with your signature, AI can prepare it. It can’t own it.
How to make them work better together
Here’s where the real time savings are. These are the upgrades we use ourselves:
- Export the same way every time. Same report, same columns, same date range. Agents love routine more than your most organized client.
- Use classes and locations (QuickBooks) or tracking categories (Xero) consistently. Clean tags mean the agent can slice by job, location or department without guessing.
- Keep the chart of accounts tidy. If “Uncategorized Expense” is your biggest account, the AI will notice. So will your client.
- Name your exports clearly. Client0142_AR_Aging_2026-10 beats “Report (7) FINAL final.”
- Ask for the output in the shape you post. A journal entry table with account, debit, credit and memo is ready to key in or import.
- Import instead of retyping where you can. Xero imports manual journals from a spreadsheet, and QuickBooks Online has spreadsheet imports too (check what your plan supports). Fewer keystrokes, fewer typos.
- Give the agent a golden example. One finished schedule you love teaches it more than a page of instructions.
- Close the loop. When you correct the agent, save the correction into its instructions so you only fix it once.
Coming next: agents that speak QuickBooks and Xero
We’re upgrading our agents to read QuickBooks and Xero reports exactly as they export, so there’s nothing to retype, and to lay out the journal entries ready for you to post. Those enhanced versions come with our Essentials membership for just $29 a month: see Essentials. And any agent you already own gets FREE upgrades as we build them, for life.
You may also see AI tools that connect straight into QuickBooks or Xero. Our rule: client books don’t go into a tool you haven’t vetted. Read-only access, the client’s okay and the tool’s data terms checked first.
Quick questions I get
Will the AI post entries in my QuickBooks or Xero?
Not in our setup. It drafts, you post. That’s on purpose.
Does it work with QuickBooks Desktop?
Yes, as long as you can export the report to Excel or CSV.
Do I need a special AI tool?
No. Every agent works with any LLM (ChatGPT, Claude, Gemini, Copilot).
What about client data?
Same five rules as always: identifiers never go in, client codes instead of names, only what the task needs, a vetted tool, and you review everything.
QuickBooks keeps the books. Xero keeps the books. AI keeps you from living in the spreadsheet. Everybody stays in their lane, and everybody gets home for dinner.
